Job Description

CUSTOMER SERVICE & SALES SUPPORT

  • Coordinate with the sales team to verify the order details (price, conditions, etc.) before sending the order to CS in Bangkok.
  • Work closely with the Regulatory team to review the import permit prior to submission.
  • Keeps an up-to-date report of shipment status of customers’ orders to the sales team and the customers.
  • End-to-end process of local delivery.
  • Coordinate with the warehouse, transportation and the customers for the shipment schedule/status.
  • Internal update to the Philippines team regarding the shipment schedules and status.
  • Handle local invoicing and any other related documents.
  • Coordinate and support the customers as per requirements.
  • Coordinate and monitor for internal and external customers for handling the complaint cases which align with sales and marketing, as well as promptly response to customers with accurate information. Also support and promote customer satisfaction.
  • Continuous improve and optimize work processes to reduce cost/time, but increase quality of work.
  • Handles inventory management and all other activities with the warehouse.


COMMERCIAL ADMINISTRATION AND DATA MANAGEMENT

  • Executes and adjusts all acts relating to the billing, within the guidelines applicable to the processing of data in relationship management, aimed at proper and clear records. Monitor the billing from start to end, prepare monthly reports.
  • Ensure the proper management of all data from external and internal customers in accordance with the archiving procedures, aimed at understanding the customer's situation required for an adequate customer relationship. Ensures proper collection.
  • Issue invoices and delivery receipts to customers upon shipment delivery. (This one is already in the local delivery process which under CS task).
  • Receive payment updates from customers and confirms payment status with Finance Department in regional office for issuing official receipt issuance.
  • Checks product specifications, labels and documents on consistency and communicates with customers to get correct documentation (labels, export documents). Should under CS task.
  • Communicates with regional Customer Service Team on PH orders and requirements and ensures timely delivery of customer orders. (it’s under CS task)
  • Checks and handles communication with brokers regarding customs processing of shipments.(This one also should be under CS task).


OFFICE MANAGEMENT

  • Manages the day-to-day office operations and procedures of a variety of office services to ensure that the organization’s needs are met efficiently, reliably, and economically. These activities include e.g., data processing, document production, administrative processes, and administrative assistance, mail and communication services, records management, reception, and office activities, etc. 
  • Recommends and implements changes in office practices and procedures to improve effectiveness.
  • Coordinates the assignment of office space, computers, furniture, and equipment
  • Arranges local hotel and transportation service agreements and recommends selection of travel agencies.
