Job Description
Correspondence:
Processing various forms of correspondence
Communications:
Collecting and/or (independently) supplementing relevant information needed for adequate handling of Mail, E-mail and telephone calls. Sorting and dealing with mail, e-mails and telephone calls. Setting priorities which communications have to be transferred to the manager, or when.
Agenda management:
Manage appointments, schedules and make travel arrangements to make best use of time. Setting priorities.
Meetings:
o Planning meetings and taking minutes; if relevant seeing to it that the planned actions are actually taken
o Planning (international) workshops, presentations and seminars, if relevant.
Other secretarial and departmental tasks:
May perform a wide range of secretarial and administrative tasks such as:
o Supporting the director / manager in his/her work
o Managing files
o Updating records of numbers of hours worked and free days taken
o Fulfilling central / departmental roles, e.g. key user, time recorder or focal point
o Performing representative tasks
o Coordinating departmental communication via a site and/or newsletter
o Writing and distributing (standard) reports
o Monitoring deadlines
o Transform written brief (e-mail – word) into a presentable presentation
o Project support, e.g. managing (and creating) project databases and project schedules
o Perform special project duties as assigned
